Track every dealer, consultant and kitchen project from spec to service call
Your equipment gets specified by consultants, sold through dealers and reps, and installed by contractors. We set up HubSpot so projects, partners and service requests all sit in one place.
Free, 30 minutes, and you'll leave with at least one clear next step.
How does commercial kitchen equipment actually get sold?
Rarely in a straight line. A restaurant group hires a food service consultant, who writes your oven into the spec. A design dealer or rep handles the quote. A contractor installs it, and the owner calls you when something goes wrong. Each of those people may also be working on five other projects with you.
That makes the project the thing to track, with every partner attached to it. A CRM that only sees the end buyer misses the consultant who wrote the spec and the dealer who'll bring the next job.
Why kitchen equipment deals go quiet
Trade show leads sit in a spreadsheet
Badge scans come home from the show, wait for someone to clean them up and lose a few weeks.
Consultant projects go quiet
A spec project can take months to bid. Without a reminder, the check-in comes too late.
Design requests travel by email
Ventilation and layout requests bounce between sales and the design team, with revisions lost in threads.
Service and tech support aren't tracked
Requests come by phone and email, and no report shows how many are open or how long they've waited.
Three pipelines, one account history
This is the setup we put in place at a commercial oven manufacturer. Yours might need more or fewer.
Sales
Deals with required fields, assigned to reps by territory. Consultant projects get follow-up reminders, and trade show leads load straight in.
HubSpotVentilation and layout design
When a deal needs a design, a request goes to the design team automatically, with room for revisions.
WorkflowsService and tech support
Emails to the service and support inboxes turn into tracked requests, each with an owner and a response target.
Customer AgentHow do you give consultants and dealers credit?
Add them to the deal with a role. The consultant who specified the equipment, the dealer who quoted it and the contractor who installed it each get linked to the project. Over time, HubSpot shows which consultants write you into specs and which dealers turn those specs into orders.
That changes how you spend time. Reps can visit the consultants who send them work and check on the ones who've gone quiet. Managers can report by territory, rep and product, which is exactly what the oven maker's leaders couldn't do before.
What happened at the oven maker
The company had a HubSpot account it couldn't trust. Its sales leader guessed the list of open deals looked about four times bigger than it really was. Some leads never got a call, and service requests came in by phone and email with no tracking.
We audited the whole account first, set up a saved list of deals for each rep and pulled every lead that had gone uncalled, before rebuilding the three pipelines above. In just over 45 days, all of those leads were back with the sales team. Every ventilation design and service request is now tracked from first contact to close.
What about after the trade show?
Load the badge scans the same week, assign each lead to a territory and send a follow-up while the booth conversation is fresh. We set it up so show leads go straight into HubSpot with the show name attached, so you can see later which shows produced orders. For the oven maker, trade show leads now load straight in.
If you'd like help with the follow-up emails themselves, see our email marketing work. To find where your current process loses time before changing anything, start with a Friction Point Analysis.
Food equipment questions
How do we credit a consultant who specified our equipment?
Link the consultant to the deal with a role. HubSpot then reports specs and orders by consultant, so you can see who brings you work.
Can dealers and reps send leads into HubSpot?
Yes. A simple form or a shared inbox can create leads tagged with the dealer or rep who sent them, routed to the right territory.
How should we handle trade show leads after the show?
Load them the same week, tag them with the show, assign them by territory and follow up while the conversation is fresh.
Can we see which trade shows led to orders?
Yes. Tag each show lead with the show name when it loads. Once deals close, HubSpot reports orders by show, so you can decide which booths to book next year.
Can ventilation or layout design requests be tracked in HubSpot?
Yes. A deal that needs a design creates a request for the design team automatically, with revisions tracked on the same record.
How do we route leads to the right rep territory?
Set territories by state, region or account type. HubSpot assigns new leads automatically and alerts the rep.
Can a service ticket show which dealer sold the unit?
Yes, when the dealer is linked to the original deal and the customer's company record. Service then sees the full history in one place.
