HubSpot vs Zoho CRM

HubSpot vs Zoho CRM for teams weighing price against ease of use

Zoho CRM is a strong product at a lower price, and for some companies it's the smarter buy. We're a HubSpot Platinum Solutions Partner, so we lean one way. This page helps you tell which group you're in.

Free, 30 minutes, and you'll leave with at least one clear next step.

A family of apps, or one shared customer database

Zoho sells a large family of business apps, including accounting, inventory and support. Zoho One bundles them, and you license every employee to get it. Zoho CRM on its own comes in several editions, including a free one, priced per user.

HubSpot puts marketing, sales, service and content on one customer database, then connects to your accounting, ERP or store. It usually costs more per seat. In our experience it's also easier for non-technical teams to pick up, and that decides more CRM projects than any feature list.

HubSpot and Zoho CRM compared

HubSpot

  • Best fit: growing teams that want marketing, sales and service working from the same records
  • Ease of use: simple screens that non-technical reps tend to pick up quickly
  • Admin effort: point-and-click setup that a part-time ops person can usually own
  • ERP and ecommerce: native NetSuite integration on every plan, plus a Shopify data sync
  • Reporting: dashboards that mix marketing, sales and service data without exports
  • Cost drivers: paid seats, required onboarding on Professional and Enterprise, and higher tiers for custom objects

Zoho CRM

  • Best fit: cost-conscious teams, especially ones already using other Zoho apps
  • Ease of use: very flexible, with more settings for a team to learn
  • Admin effort: deeper setups usually need someone in house to build and maintain them
  • ERP and ecommerce: works most smoothly with Zoho's own accounting and inventory apps
  • Reporting: solid sales reports, with more options on higher editions
  • Cost drivers: per-user editions, or every employee licensed under Zoho One

When Zoho is the better choice

  • You already run Zoho's accounting, inventory or support apps and they work well for you
  • You need many users on a tight budget, and most of them only need basic CRM features
  • You have someone in house who enjoys building and maintaining custom setups
  • Marketing automation isn't a big part of how you win customers
  • You want one vendor for nearly every business app, and Zoho One's all-employee pricing works out cheaper for your headcount
The problems we see

When HubSpot tends to win

These are the patterns we see when companies pick HubSpot over a lower-priced CRM and stay happy with it.

Marketing and sales keep arguing about leads

In HubSpot, the form fill, the email clicks and the sales calls all sit on one contact record. Our lead scoring setups use that history to decide when a lead goes to sales.

Your ERP is NetSuite, or your store is Shopify

HubSpot's native NetSuite integration syncs deals with opportunities and orders with sales orders on every plan. Custom field mappings need Data Hub.

People won't use a CRM that feels hard

If reps skip the CRM, the data goes stale no matter how cheap it was. HubSpot's simpler screens are often the reason a rollout sticks.

You've outgrown a pile of separate tools

We moved an online education program from group chats, spreadsheets and 5+ separate tools into one HubSpot account. Sales, onboarding and support now see the same student record.

Case study

One HubSpot account in place of scattered tools

An online education program ran sales, onboarding and support across group chats, spreadsheets and separate apps. In HubSpot, all three teams now share one student record.

Should AI features decide between Zoho and HubSpot?

We don't think so. Both vendors keep adding AI, and the feature lists change every few months. Pick the CRM that fits how your team sells and connects to your other systems. If you want to see what HubSpot's AI can do once the data is clean, our Breeze agents page covers it.

Any AI is only as good as the records it reads. When we audited one client's CRM, the open deal list looked about four times bigger than it really was, and many leads had never been called. No AI feature would have fixed that. Cleaning the data did.

How it works

How to test both before you commit

  1. Write down how you sell today

List every stage a deal goes through, who touches it and what system it needs data from, such as your accounting or ERP.

  2. Price your actual headcount

Count who needs full seats and who only needs to view. HubSpot's view-only seats cost nothing extra. Compare that to Zoho CRM per user and to Zoho One for every employee.

  3. Run one live deal through each

Use the free tiers. Have a rep log a current lead, move it through stages and pull a report. Watch where they get stuck.

  4. Check the connections you need

Check how each one links to your ERP, store and email tools, and what a custom field mapping will cost.

What if you already run Zoho?

Then the question is whether a move is worth the rebuild. Custom processes and scripts built in Zoho don't transfer. They have to be rebuilt as HubSpot workflows, and any link to Zoho's accounting or inventory apps needs a new connection. If that list is long and Zoho is working, staying is often cheaper.

If you've decided to switch, our Zoho to HubSpot migration page covers what moves, what has to be rebuilt and how we switch teams over. Before you compare costs, check current pricing on Zoho's CRM pricing page and HubSpot's pricing page.

FAQ

HubSpot vs Zoho questions

Is Zoho CRM cheaper than HubSpot?

Per user, usually yes. The gap can shrink once you count setup, the apps you connect and the time your team spends running it. Compare a full year at your current headcount, and check both vendors' current pricing pages.

We already use Zoho Books. Should we stay on Zoho CRM?

Often, yes. If Books works for you and your sales process is simple, keeping everything in Zoho avoids an integration. It's worth a second look if marketing automation matters a lot to you or reps aren't using the CRM.

Does Zoho have a free plan like HubSpot?

Yes. Both have free tiers for small teams. They're fine for trying the tool on a few of your deals before you pay.

How much work is it to move from Zoho to HubSpot?

It depends on how much custom setup you have and how many other Zoho apps read from the CRM. Records move as data. Automations and reports get rebuilt. Our Zoho to HubSpot migration page covers what makes a move bigger or smaller.

Can HubSpot do everything Zoho One does?

No. Zoho One includes accounting, inventory and many other apps HubSpot doesn't make. HubSpot covers marketing, sales, service and content, then connects to your accounting or ERP system.

Which is easier for a small sales team to learn?

In our experience, HubSpot is quicker for most non-technical teams to pick up. Zoho gives you more knobs, which is good if someone enjoys setting them and harder if no one does.
