Move from Zoho CRM to HubSpot without breaking the Zoho apps you keep
Zoho CRM rarely stands alone. It's often wired to other Zoho apps for accounting, support or email. We plan which Zoho apps stay, move the CRM data, rebuild your automations in HubSpot, and keep a full Zoho backup on file.
Free, 30 minutes, and you'll leave with at least one clear next step.
What does a Zoho to HubSpot move cover?
It covers your Zoho CRM records, their history and their files. It also covers a rebuild of the automations and reports that ran on top of them. Records and activities move as data. Automations, custom scripts and reports get rebuilt by hand, because no tool turns Zoho logic into HubSpot logic.
The harder question is usually what happens to the rest of Zoho. If you use Zoho for invoices or support, the CRM link to those apps breaks when the CRM goes. We decide early which Zoho apps stay, which move into HubSpot, and how the ones that stay will talk to HubSpot. Still comparing the two tools? Start with HubSpot vs Zoho.
Where each part of Zoho ends up
Leads, contacts, accounts and deals
Zoho leads and contacts both become HubSpot contacts. Accounts become companies, and deals keep their stages, amounts and owners.
Calls, meetings, tasks and notes
These land on each record's timeline in HubSpot, with the original dates and owners, so reps can see what happened before the move.
Attachments and line items
Files, notes and deal line items move after the main records. We check file counts against your Zoho backup.
Custom modules
These become HubSpot custom objects, which need an Enterprise plan. We load them and rebuild their links to contacts, companies and deals.
Automations and custom scripts
Rebuilt as HubSpot workflows. Required steps in your sales process usually become required properties at each deal stage. Scripts that run business logic may need custom code steps, which need Data Hub Professional or Enterprise.
Reports and dashboards
Rebuilt in HubSpot from the short list your managers open. The rest stay behind.
Email history
Zoho's standard backup doesn't include email content. If old emails matter, we plan a separate step for them. Going forward, each rep connects their inbox to HubSpot.
Zoho pitfalls we plan for
These come from how Zoho stores and exports data. We plan for each one on every Zoho move.
The backup has to be timed
Zoho's backup download doesn't stay available for long. We schedule it for the week we need it and hand you a copy.
Some data isn't in the standard backup
Emails, stored documents and data that came in through other tools may need their own export. We find these in the audit.
Converted leads come back as duplicates
When a Zoho lead converts, it creates a contact, an account and often a deal. Import both the old lead and the contact and HubSpot gets two of the same person. We match on email and bring only unconverted leads you still want.
Zoho apps lose their CRM link
Other Zoho apps, like accounting, support or email tools, often read from and write to Zoho CRM. Cut the CRM and those links stop. We list every connection in the audit and plan what replaces it before switchover.
Picklists don't line up
Zoho picklist values, especially multi-select ones, rarely match HubSpot dropdown options one for one. We map each value and clean up spelling variants so filters and reports work.
How the move runs
-
Audit Zoho
We list modules, fields, automations, custom scripts, reports and every Zoho app or outside tool connected to the CRM. We also pull fill rates, so empty fields stay behind.
-
Map fields and values
Each Zoho field gets a HubSpot property or association, and each picklist value gets a match. Custom modules get their object design. You sign off before anything moves.
-
Run a test migration
We take a fresh Zoho backup and move everything into a HubSpot test account. We compare counts module by module and have your team check records they know well.
-
Cut over
We freeze Zoho CRM, take the final backup, run the move and point forms, phones and connected apps at HubSpot. Zoho stays readable while the team settles in.
-
Train and tidy up
Role-based training on your own records, then a check-in after the first weeks to fix anything the team trips on.
How do you avoid downtime when Zoho apps stay connected?
We run HubSpot alongside Zoho first and switch once everything checks out. That's how Charlie Hustle moved off Zendesk and Klaviyo into one HubSpot account. The old tools kept running until the new setup was proven.
For data safety, we take a full Zoho backup with attachments right before the final move and hand it to you, since Zoho's download link doesn't stay live for long. Only the people doing the work get access, and we remove our access to Zoho once you're done with it.
What you'll need to give us
- A Zoho CRM administrator login, and a HubSpot Super Admin login
- A list of the other Zoho apps you use and which ones you plan to keep
- Your sales process rules in plain words, or one person who can walk us through them
- The reports your managers check every week
- Decisions on how much old data to bring, like closed deals and dead leads
- Two or three people to check the test account
What makes a Zoho move bigger or smaller?
Plan for extra time when
- Custom scripts run core business logic, like pricing or approvals
- Zoho's accounting, inventory or support apps read from the CRM every day
- Custom modules hold live data that needs HubSpot Enterprise
- Old emails matter and need their own export
The move is usually quicker when
- You use Zoho CRM but few of the other Zoho apps
- Your process rules are simple, or the team ignores them anyway
- Most data sits in leads, contacts, accounts and deals
- Reps already keep their email in their own inboxes
Zoho to HubSpot migration questions
Can we keep Zoho Books if we move the CRM to HubSpot?
Often, yes. Zoho Books can stay your accounting system while HubSpot becomes the CRM. The link between them has to be rebuilt with an integration tool or custom connection, so we scope that in the audit.
What happens to our Zoho automations?
They get rebuilt, not moved. Required stages and rules usually become HubSpot deal stages with required properties, and the rest become workflows. We write each one out in plain words first so nothing gets lost.
Will our Zoho custom modules come over?
Yes, as HubSpot custom objects, which need an Enterprise plan. Sometimes a small custom module works better as properties on an existing record.
Does Zoho's backup include our emails?
No. Zoho's standard backup leaves out email content and some other data. If old emails matter, we plan a separate step for them.
Do we need Data Hub to move from Zoho?
Not always. Custom field mappings and custom code for complex logic need a Data Hub subscription. Simple moves often don't need it.
