Call back every roofing lead fast and track each inspection to a signed job
After a storm, leads pile up faster than anyone can call them. We set up HubSpot to route every lead, schedule inspections, track claims and estimates, and bring back the leads that never got a visit.
Free, 30 minutes, and you'll leave with at least one clear next step.
What happens to roofing leads after a storm?
A hail storm can bring more leads in a week than your team sees in a month. Calls, web forms and canvassing sheets all arrive at once. The office books what it can, and the rest end up on a whiteboard, in a voicemail box or on a rep's phone.
Some of those homeowners sign with whoever shows up first. Others wait for an adjuster, then forget who they called. Weeks later, the office can't say how many leads came in, how many got an inspection, or how many are still open.
Multi-crew companies feel it twice. Sales loses leads in the rush, and production gets signed jobs with half the details missing. A CRM set up for the surge fixes both ends. Every lead has an owner and a deadline, and every signed job reaches the production manager with the photos, measurements and claim notes sales already collected.
From lead to signed roof, the stages we track
-
New lead
Every call, form and canvassing contact lands in HubSpot and goes to a rep by territory, with a call-back task.
-
Inspection booked
The inspection date and the rep attach to the lead, with a reminder to the homeowner.
-
Claim filed
For insurance work, the claim number, carrier and adjuster meeting date go on the deal.
-
Estimate sent
The estimate amount comes in from your measurement or estimating tool, and follow-up starts.
-
Signed
The signed job passes to production with what sales already knows.
-
Installed and paid
Closeout and final payment, plus a review request and a referral ask.
Why signed roofs slip away
Slow call-backs
When leads wait a day, homeowners book someone else. Routing by territory and a task with a deadline fix most of it.
Inspections that never become estimates
A rep inspects, takes photos and moves on. Without a stage and a task, the estimate waits.
Claims stall with no owner
Supplements, adjuster meetings and approvals stretch on. You can't see which jobs are stuck at which step.
Last season's leads are written off
Hundreds of contacts who never got a visit sit in a spreadsheet. Many still have a damaged roof.
Can you get value from leads you already have?
Yes, and it's often the fastest win. Sort last season's storm leads by address and storm date. Take out anyone who already signed with you. Then give each rep a saved call list for their territory before the next storm season starts. Many of those homeowners still have a damaged roof and never got a visit.
We haven't done this for a roofer yet. We have done it for a commercial oven manufacturer whose HubSpot account held leads that had never been called. In just over 45 days, those leads were all back with its sales team. The method carries over. We'd measure the result in your market together, and we won't promise one up front.
What we set up for roofing companies
Lead routing
Leads go to the right rep by territory or rotation, with a call-back deadline managers can see.
WorkflowsInspection and claim stages
Separate stages for retail and insurance jobs, with claim details on each deal.
HubSpotEstimate follow-up
Tasks and emails for every estimate that hasn't signed, stopped when it does.
Email marketingAd reporting by signed job
Each lead keeps its source, so you see signed revenue by campaign and by storm.
Ad tracking and reportingCommercial maintenance programs
Building owners and property managers as accounts, with inspection and renewal dates.
A note on what we don't do
We don't sell local SEO, door knocking or lead lists. If you need more leads, plenty of firms focus on that. We work on what happens once a lead exists, so more of them become signed roofs. When tracking reaches the signed job, we can also run paid ads and judge them on signed work.
Roofing companies questions
How fast should a roofing company call back a new lead?
As fast as you can, and the same day at the latest. Route each lead to a rep with a deadline, and let managers see who's waiting.
Can HubSpot track insurance claim roofing jobs?
Yes. We add claim stages and fields for the carrier, claim number and adjuster meeting, so you can see which jobs are stuck at which step.
Should retail and insurance roofing jobs share one pipeline?
Usually not. Insurance jobs have claim, adjuster and supplement steps that retail jobs skip. Two pipelines keep each one short, and reports can still combine them.
What do we do with storm leads that never got an inspection?
Clean the list, remove anyone who already signed, sort by area and date, then give reps saved call lists. Old leads are often the cheapest work you'll find.
Does HubSpot work with roof measurement and estimating tools?
It can receive the estimate amount and key details through a connector tool, a custom build or an import. We check what your tools support first.
How should we split leads between reps?
By territory if reps cover set areas, or by rotation if they don't. HubSpot assigns each lead automatically and tracks call-back time per rep.
Can we track commercial roof maintenance programs?
Yes. Building owners become accounts with inspection dates, contract values and renewal reminders, kept apart from residential leads.
