Connect HubSpot and Procore so a won job opens without retyping
When you win a job in HubSpot, the Procore project should start with the client, address and contract value already filled in. At closeout, the final numbers should come back. Here's how we scope that connection, field by field.
Free, 30 minutes, and you'll leave with at least one clear next step.
What does a HubSpot Procore integration do?
It passes a won job from HubSpot into Procore and sends a few facts back. HubSpot keeps the pursuit and the client relationship. Procore runs the project. The integration covers the moments where the two meet, which are award, project start and closeout.
Without it, a project coordinator rebuilds each new project by hand. They retype the client company, the site address, the contacts and the contract amount. A typo here turns up later in billing, and in reports that never match.
Going the other way, business development rarely hears how a job ended. A Procore connection can bring back the completion date and the contract value after change orders. Then you can see which clients grew after award, and by how much.
What moves at award, and what comes back
This is the starting field list we bring to the first scoping session. Most contractors end up close to it.

Five decisions we make with you before building
Writing the connection is the easy part. Most of the work is agreeing how a won job should move.
Stage 1: Pick the moment a project opens
Verbal award, signed contract or another stage you choose.
Some firms open the Procore project at verbal award. Others wait for the signed contract. We look at a few recent jobs and pick the point where the details are final enough to pass on. We also plan what happens when a deal reaches that stage by mistake.
You get One agreed trigger, written down.
Stage 2: Match clients across both systems
Decide how a HubSpot company finds its twin in Procore, so you don't create duplicates.
Client names rarely match. "Smith Development LLC" in one system and "Smith Dev" in the other become two clients. We clean the shared client list first. Then each system stores the other's ID, so later matches are exact.
You get A cleaned client list and a matching rule.
Stage 3: Map each field and its direction
Every field that moves, which way it goes and which system wins a conflict.
We list each field, the system that owns it and the event that sends it. Usually HubSpot owns the client and the award amount, and Procore owns the project after that. Your project systems lead and your HubSpot admin sign off line by line.
You get A written field map and a fixed scope.
Stage 4: Choose a connector tool or a custom build
A connector tool for a simple handoff, a custom build for specific rules.
Connector tools such as Zapier and Workato work with both HubSpot and Procore. They can handle a simple flow where a won deal opens a project. A custom build against each system's API makes sense when you need matching rules, project templates or updates in both directions. Either way, a Procore admin approves the connection in your account.
You get A recommended route, with its trade-offs.
Stage 5: Test on recent awards, then train
Recent wins run through the connection before anyone depends on it.
We run recent awards and closeouts through the connection before launch, and fix what breaks. Then business development, project managers and accounting each get a short walkthrough of what changes in their day.
You get A working connection your team trusts.
Problems we plan for in every Procore connection
Each of these has broken a handoff somewhere. We settle them in the scope, before launch.
Duplicate clients
One owner becomes three records because the names don't match. Storing each system's ID on the other record stops it.
Projects opened too early
A deal gets moved to won by accident, and a ghost project appears in Procore. A clear trigger and an undo step prevent it.
Both systems editing one field
If either side can change the contract value, the last save wins, and which value is right becomes a guess. Each field gets one owner.
Jobs that skipped HubSpot
Small or rush jobs sometimes start straight in Procore. We decide up front whether those come back to HubSpot at closeout.
Silent failures
A connection that fails quietly is worse than none. A named person gets an alert when a project doesn't open.
Have we built this exact connection before?
We haven't published a Procore case study, and we won't suggest otherwise. Our integration proof comes from Photon Brothers, a Colorado home solar installer whose earlier integrations kept breaking.
We rebuilt them with a written field list and tested each one on live deals. Designs and signed contracts now flow from OpenSolar back to HubSpot and file themselves in Google Drive. Sales orders reach the inventory system, and staff get a warning if a product doesn't match. Photon has come back for six integration projects.
Procore is a different system, but we'd use the same method. Each field gets one owner, the spec is written down, and we test on live jobs before launch.
Other construction connections we scope
Bid leads into HubSpot
Projects from Dodge or ConstructConnect arrive as records, matched to owners and GCs you already know.
Data HubEstimating to HubSpot
The final bid amount and scope land on the deal without retyping.
HubSpot to accounting
New clients get created once in Sage, Viewpoint or QuickBooks, with billing details passed across.

Custom AI workflowsHubSpot and Procore questions
Is there a built-in HubSpot Procore integration?
Check both companies' app marketplaces for current options. Most contractors we talk to use a connector tool such as Zapier or Workato, or a custom build when they need specific rules.
What data should go from Procore back to HubSpot?
Keep it short. Project stage, completion date and final contract value are usually enough for business development reports.
Should a Procore project change the HubSpot deal stage?
Usually not. Once a job is won, the deal stays closed won. Project stage goes into its own field, so your win rate reports stay clean.
How long does a HubSpot Procore integration take?
A one-way handoff at award is the smallest version and the quickest. Client matching, updates in both directions and closeout data add time. Your written scope includes a timeline.
Can bid leads from Dodge or ConstructConnect flow into HubSpot?
Often, through an export, a connector tool or a custom build, depending on your subscription. We match each lead to owners and GCs already in HubSpot so you don't create duplicates.
Who maintains the integration after launch?
We can, or your team can. Either way you get the written field map, so anyone can see what moves and why.
